Terms of use

Last updated: October 2026

This document describes the rules for using the service today. It may evolve; the date of the last update is shown above.

The service

Digital Check-in lets a host receive their guests' check-in form and a signed rental agreement online before arrival, via a check-in link specific to each property.

Digital Check-in is a simple technical intermediary between the host and their guests: we provide the tool, but the host, as the operator of their property, remains solely responsible for ensuring their rental complies with the laws and regulations that apply to them (guest registration, taxation, property safety, local permits, etc.).

Using the service as a host implies acceptance of these terms.

The service is operated by BrightCode Development LLC, a company organised under US law (Wyoming, United States), registered in Wyoming under no. 2026-002094951, 30 N Gould St Ste N, Sheridan, WY 82801, USA.

Host account and subscription

The host is responsible for the accuracy of their account, property and landlord profile information, and for keeping their credentials confidential.

Some features (number of properties, check-ins) depend on the chosen subscription plan; plans and their limits are shown in the app.

Host responsibilities

The host remains solely responsible for complying with the legal obligations applicable to their rental activity (guest registration, taxation, local regulations): Digital Check-in is a technical tool, not legal advice.

The host agrees to use guest data only for the purpose of the booking, in accordance with the privacy policy.

Guests' identity data is deleted automatically 6 months after their departure (see the privacy policy). The host undertakes to export their records before that date and to keep them for as long as the law of their country requires: Digital Check-in does not keep them beyond that.

Digital Check-in does not verify the authenticity of ID documents: the host checks the details declared by their guests and decides whether to accept them.

The guest register (Spain, Italy, Portugal, or any other country) is an aid: Digital Check-in prepares the information and a file ready to copy, but does not send anything to the authorities. The host reports their guests themselves within the deadlines set by the law of the country of their property, checks the accuracy of the file and keeps their own copies for the legal period (for example 3 years in Spain). The rules and deadlines shown in the app are indicative and may be incomplete or out of date.

Guest responsibilities

The guest agrees to provide accurate information during check-in and to sign the rental agreement knowingly.

By submitting a check-in that includes minor guests, the adult filling in the form confirms being their parent or legal guardian, or having their authorisation to share their information.

Limitation of liability

The service is provided "as is". Digital Check-in takes reasonable measures to ensure availability and security but does not guarantee uninterrupted availability and cannot be held liable for disputes between a host and a guest.

Nothing in these terms excludes or limits any liability that cannot be excluded or limited under the law applicable in your country of residence (including statutory consumer guarantees).

Termination

The host may delete their account at any time from the app; the associated data is then erased in accordance with the privacy policy.

Digital Check-in may suspend an account in case of fraudulent use or use contrary to these terms.

Applicable law and contact

These terms do not affect any mandatory rights you have under the law of your country of residence, where that law protects you as a consumer.
